Privacy Policy

This Privacy Policy describes how PlanetWRX LLC collects, uses, stores, and discloses information when you use the WeatherWRX web application and its optional Google Workspace sidecar, Google Calendar, Google Drive, analytics, and connected-tool features. It also describes choices and rights available to you.

A. Collection and Use

WeatherWRX collects the following information:

  • Your Name
  • Your Email Address
  • Sales Referral Email Addresses
  • Your Active Location
  • Your Organization Name
  • Your Organization Profile
  • Weather Forecast Locations
  • Descriptions of Alternative Weather Forecast Locations
  • Calendars Tracking Weather Forecast Information
  • WRXFlow route or operating-area geometry, server-generated evaluation samples and coverage statistics, location-section deployment membership, incident revisions, escalation-contact invitations and consent/eligibility status, workflow acknowledgements, and preparation-task status
  • WeatherWRX location and weather information displayed through the optional Google Workspace sidecar
  • Google Drive weather forecast spreadsheets you choose to create through WeatherWRX
  • Billing, subscription, and free-trial eligibility records
  • Plan-selection funnel, checkout, recovery-offer delivery, redemption, and conversion timestamps
  • Application usage, product interaction, and analytics events (see section E)
  • Ask WeatherWRX questions, answers, conversation history, and user-provided LLM API key configuration when you use AI features
  • Connected AI client registration, authorization grant, approved capability, and selected WeatherWRX resource records
  • Cookies and similar storage (see section E)
  • Technical and diagnostic information, such as device, browser, and error logs (see section F)

Google account and API data

WeatherWRX base Google sign-in requests only openid, profile, and email identity scopes. Calendar read-only permission is requested incrementally only when you enable a calendar-aware feature, and Drive file permission is requested incrementally only when you enable a WeatherWRX Drive export. Declining either optional request does not prevent you from continuing to use the rest of onboarding or the web application. The optional Google Workspace sidecar uses the signed-in user's Google identity to display read-only information from that user's existing WeatherWRX location organizer inside Gmail and Google Calendar. The sidecar does not read Gmail message content or Google Calendar event content, does not edit WeatherWRX data, and sends location clicks to the existing WeatherWRX web application. If you enable optional Google Calendar features, WeatherWRX may separately access calendar metadata and event information needed to provide calendar-aware weather, Calendar Cabinet, travel detection, and related user-facing features. WRXFlow uses only calendars you explicitly assign to an Organizer section, selected from your primary calendar and opted-in additional calendars. Calendar-event outdoor classification is performed locally by a deterministic WeatherWRX classifier. If you configure your own third-party LLM provider API key for WeatherWRX AI features, you authorize WeatherWRX to send information you have shared with WeatherWRX to that provider on your behalf as needed to provide the AI features you use (including, for example, calendar event titles, times, and location text); without a configured key, calendar content is not sent to any external language model. Event links are limited to safe owner-only links, and WeatherWRX does not add Google Calendar write scope for preparation notes. If you enable Google Drive weather sheets, WeatherWRX accesses only the folders and spreadsheet files it creates for that feature. WeatherWRX preserves previously granted Google scopes and available refresh credentials when incremental authorization succeeds. WeatherWRX uses data received from Google APIs only to provide or improve user-facing features, maintain security, prevent abuse, comply with law, or as otherwise permitted by the Google API Services User Data Policy, including the Limited Use requirements.

Connected AI Clients and MCP

If you authorize a supported AI client through WeatherWRX MCP, WeatherWRX stores the client registration and authorization grant information needed to provide the connection, including approved capabilities and selected WeatherWRX resources. The client may receive weather, alert, location, and calendar-derived information within the scopes you approve. Write-capable scopes may allow the client to create or change WeatherWRX resources on your behalf. You can review and revoke grants from Connected Apps. Revoking a grant stops that client’s future access but does not control information the client or its service provider previously received; their handling of that information is governed by their own terms and privacy practices.

B. Your information is used to

Facilitate and administer business services you have requested through our applications.

Operate, secure, and improve the Service, including through the analytics and diagnostic information described in sections E and F.

If you provide us personal information about others, or if others give us your information, we will only use that information for the specific reason for which it was provided to us.

If an email-enabled account signs in with Google, reaches the required plan prompt, and does not begin Checkout, WeatherWRX may send one plan-recovery email after 24 hours. The email may contain a time-limited account-bound offer. You can turn off account emails in Settings or use the plan-offer unsubscribe link in the email.

During an eligible Personal trial, WeatherWRX may send activation guidance after your first location and on days 2, 4, and 7. These optional product messages honor account email preferences and the plan-offer unsubscribe group. WeatherWRX also sends transactional notices approximately 72 and 24 hours before a scheduled trial-end charge; those required billing notices are not suppressed by optional product-email preferences. Stripe separately provides successful-payment receipts, failed-payment notices, and payment-authentication messages.

C. Disclosure to Third Parties

Your personal information is only shared with third parties in the ways that are described in this privacy statement. Your personal information is not sold to third parties. WeatherWRX™️ does not use Google Analytics for advertising, remarketing, sale, sharing, or cross-context behavioral advertising. In some cases your data may be provided to companies that provide services to help us with our business activities such as assisting with software development, testing, hosting, billing, email delivery, analytics, error monitoring, mapping, geocoding, weather data, and customer support. These companies are authorized to use your personal information only as necessary to provide these services. WeatherWRX™️ may also disclose your personal information to third parties per the conditions listed below:

  • As required by law, such as to comply with a subpoena, or similar legal process.
  • When in good faith disclosure is necessary to protect the company’s rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
  • If the company is involved in a merger, acquisition, or sale of all or a portion of its assets, you will be notified via email and/or a prominent notice through our app of any change in ownership or uses of your personal information, as well as any choices you may have regarding your personal information.
  • To any other third party with your prior consent to do so.

D. Security

WeatherWRX™️ takes commercially reasonable measures and follows generally accepted standards to protect the information you provide us, both during transmission and when it is stored. For example, if you provide sensitive information such as a credit card number when purchasing an app or through the app itself, the information you provide is transmitted via encryption using technologies such as secure socket layer technology (SSL). No method of transmission over the Internet, or method of electronic storage, is 100% secure. Therefore, we cannot guarantee absolute security of your information.

E. Tracking Technologies

WeatherWRX™️ uses necessary cookies and storage to keep the site and app working. WeatherWRX also uses Google Analytics 4 to understand aggregated website traffic, acquisition, return visits, general geography, and product usage.

For visitors identified as located in the United States, analytics may be enabled by default unless you disable analytics in Analytics Preferences or your browser sends a recognized Global Privacy Control signal. For visitors identified as located in Europe, the United Kingdom, Switzerland, or an unknown region, analytics remains off unless you accept analytics. You can reopen Analytics Preferences from the site footer or app settings.

If analytics is enabled, WeatherWRX may send page views and product interaction events to Google Analytics. For signed-in users, WeatherWRX may send a pseudonymous internal user identifier so activity can be understood across sessions without sending names or email addresses.

Trial and onboarding analytics use only allowlisted categories and values such as trial variant, trial duration, whether a payment method is required, trial eligibility, an enumerated planning use case, and rounded hours since trial start. WeatherWRX does not send Stripe customer identifiers, raw acquisition URLs, or free-form onboarding answers to Google Analytics.

WRXFlow analytics may record whether section setup, legacy-workflow review, route setup, area-mode selection, update-policy setup, grouped-delivery setup, contact invitation or eligibility flow, acknowledgement, update delivery, or preparation-task completion succeeded, using only allowlisted values such as area, source, success, and error code. These events do not include section, workflow, formula, contact, calendar, or group identifiers; group or location names; affected-member lists; email addresses; event content or links; route geometry; sample coordinates; or raw query data.

Ask WeatherWRX setup and example analytics may record which setup surface was shown, which provider a setup link targeted, whether the sample answer was viewed, and — when a built-in example question is selected — that example's admin-assigned topic slug (for example "business" or "family") together with setup readiness. The text of the example, your own questions, and any location names substituted into an example are never sent.

WeatherWRX™️ does not send email addresses, names, precise GPS coordinates, ZIP codes, street addresses, calendar event titles, calendar names, support message text, Ask WeatherWRX prompt or response text, provider API keys, or weather location names to Google Analytics. Advertising personalization and remarketing are not enabled.

F. Service Providers and Processors

WeatherWRX™️ uses service providers and processors to operate and improve the Service. These may include Google for authentication, Calendar, Drive, and Sheets APIs, Google Analytics, and geocoding; Stripe for billing; SendGrid for email delivery; Sentry for error monitoring and session replay diagnostics; Mapbox and Google mapping services for maps and geocoding; hosting, database, and infrastructure providers; weather and environmental data providers; LLM providers selected for Ask WeatherWRX responses; and support, development, and testing providers.

Sentry may collect technical diagnostics such as browser, device, URL, performance, and error information. WeatherWRX configures Sentry session replay to mask all text and block all media by default.

G. Lawful Bases for Processing

Where privacy laws require a lawful basis, WeatherWRX™️ processes personal information as needed to provide and administer the Services you request, perform agreements with you or your organization, comply with legal obligations, protect the security and integrity of the Service, support billing and customer communication, and pursue legitimate business interests such as debugging, fraud prevention, service improvement, and operational analytics where permitted.

For visitors in Europe, the United Kingdom, Switzerland, or unknown regions, WeatherWRX relies on your consent before enabling optional Google Analytics. You may withdraw that analytics consent at any time through Analytics Preferences.

H. Your Privacy Rights

Depending on where you live and which privacy laws apply, you may have rights to request access to personal information, correction of inaccurate information, deletion of personal information, restriction of processing, objection to processing, portability of information, withdrawal of consent, and non-discrimination for exercising privacy rights.

California residents may also have rights to know what personal information is collected, used, disclosed, sold, or shared; to delete or correct personal information; to opt out of sale or sharing; to limit certain uses of sensitive personal information where applicable; and to be free from discrimination for exercising those rights. WeatherWRX™️ does not sell personal information and does not use Google Analytics for sale, sharing, or cross-context behavioral advertising.

You may submit privacy, access, correction, deletion, or account-closure requests through the WeatherWRX support form. If an enterprise customer coordinates administration of individually provisioned accounts, WeatherWRX may verify that customer’s authority before acting on an organization-level request; this does not provide the customer access to a Google Workspace administrator console through WeatherWRX.

If you are in Europe, the United Kingdom, or Switzerland, you may also have the right to complain to your local data protection authority.

I. International Transfers

WeatherWRX™️ is operated by PlanetWRX LLC, a Delaware company, and the Service and its providers may process information in the United States and other countries. Those countries may have data protection laws that differ from the laws where you live. Where required, WeatherWRX relies on appropriate safeguards for international transfers.

J. Information stored

WeatherWRX™️ stores the information needed to provide WeatherWRX services — including details you enter about your organization, locations, or both — together with the analytics and diagnostic information described in sections E and F.

Ask WeatherWRX conversations are encrypted at rest, retained for up to 90 days by default, and can be deleted from the app. Forecast Briefing AI requests are likewise encrypted at rest and retained for up to 90 days before automatic deletion. Ask WeatherWRX questions, Forecast Briefing summaries, and relevant WeatherWRX weather and calendar context for the AI features you use are sent to the selected LLM provider to answer. When provider-side WeatherWRX MCP tools are available, WeatherWRX may also issue a short-lived, read-only OAuth token for the provider request and revoke it after the answer is generated. If you provide your own LLM provider API key, WeatherWRX stores the key encrypted at rest and uses it only to make provider requests for AI features you use.

WRXFlow is available to eligible Enterprise owners. Workflow runs, incident revisions, group incidents and member history, delivery actions, acknowledgements, completed or dismissed preparation tasks, contact invitation records, and contact eligibility audit events are ordinarily retained for 90 days. Invitation tokens and referral attribution are stored only as cryptographic hashes. Route or area configuration and sample statistics, location-section deployment configuration, opted-in calendar selection, active consented contacts, and calendar-classification corrections remain available while needed to provide the configured automation. If an owner loses Enterprise eligibility, WRXFlow access and delivery stop immediately and WRXFlow configuration and history are scheduled for deletion after 30 days unless eligibility returns. A rollout cleanup may delete existing ineligible-owner WRXFlow data immediately. These deletions do not remove the user account, subscription, Organizer sections, locations, Google connections, Standard or Government alert settings, or external recipient accounts.

Information is stored for a reasonable time after account expiry. This allows users to suspend and reactivate the service, typically without losing their setup preferences. You may request deletion of your personal information at any time during this period through the WeatherWRX support form. We will delete your information except where we are required or permitted to retain it, for example to meet legal, tax, billing, security, fraud-prevention, abuse-prevention, or dispute-resolution obligations. After account deletion, WeatherWRX may retain account deletion audit entries that include the deleted account email/name snapshot and a keyed hash of the account email for free-trial eligibility enforcement. WeatherWRX may also retain a keyed email hash and Stripe billing identifiers in a permanent legacy-subscription registry so prepaid access can be reclaimed after account recreation and duplicate trials can be prevented; the registry does not store the raw email address.

K. Account Configuration and Requests

You can review and change available product configuration in the WeatherWRX dashboard and Settings. You may submit privacy, access, correction, deletion, or account-closure requests through the WeatherWRX support form. If an enterprise customer coordinates administration of individually provisioned accounts, WeatherWRX may verify that customer’s authority before acting on an organization-level request; this does not provide the customer access to a Google Workspace administrator console through WeatherWRX.

WeatherWRX will retain information for as long as your account is active or as needed to provide you services and will retain and use information as necessary to comply with legal obligations, resolve disputes, and enforce agreements.

L. Privacy Statement Updates

WeatherWRX™️ may update this privacy statement to reflect changes to the business or this app as it pertains to the information collected and used. If the change impacts how information is collected you and/or your organization’s administrator will be notified, or a notice will be posted where you first access this app prior to the change becoming effective. We encourage you to periodically review this page for the latest information on our privacy practices.
